How to generate a Call the Car billing format report to submit for trip payment

This article discusses how to generate a Call the Car billing format report within MediRoutes

Call the Car requires the billing report to be in a very specific format for trip payment.

Call the Car will typically provide you with a worksheet (the file linked above) with an example Invoice that specifies the requirements for the billing format trip payment file. Instructions for generating the file you need to submit are included on that file.


In order to generate the above CTC format billing export file in MediRoutes, you would:

a. Open up the MediRoutes desktop application,
b. Open the Reports {Tab} (Top Right hand corner)
c. Specify the date range you need in the "FROM" and "TO" date fields
d. Under the "Funding Source" {Drop Down Menu} filter you would need to specify your Call the Car funding source
e. <Click> on the "Trip Sheet" {TAB}
f. <Click on the "Data Grid" {TAB}
g. Uncheck "Include Canceled", Uncheck "Include Unscheduled", check "Include Dry Run/No Shows"
h. <Click> on the "Get Report" {Button}
i. Once the report generates, you can click on the Custom Export on the right hand side of the screen to export a file that closely matches the format that Call the Car requires.

Please NOTE:
- The Vendor Tax Id column will need to be filled in manually on the file you generate 
- Wait Time Minutes will need to be filled in manually on the file you generate (MediRoutes does not track wait time)
- The Oxygen Provided column will need to be filled in (this can't be pulled from MediRoutes).  (Review the file for the accepted values on this column) 
- The MediRoutes Call the Car export report does not include information for the column "Comment" (For guidance on what to enter into that field, please consult Call the Car"
- If you fail to filter for the Funding Source "Call the Car" when generating the report you will have other trips from different funding sources on this exported report.
- You will need to verify that you are not showing the trips that Call The Car defines as "Cancelled" or "Missed".  You need to make sure your "No Show" trips are valid as defined by Call the Car.
