Internal Only - Desktop (Outage) Back Up File Access Process

MediRoutes Desktop Client now contains a way of automatically generating a backup of today and tomorrows trips that can be accessed in the case of an Azure outage. This is not a process that will be seen by the user and will only occur when the user closes the desktop client, or if the client automatically logs them out for inactivity.

If the user has write permission for the folder on the computer that they are working on that the desktop client is installed in, the desktop client will attempt to generate a backup file that will contain trip schedules for today's date and tomorrow. If the user does not have write permission to this folder, then the backup file cannot be generated and the process will be skipped.

The backup file will be a password protected ZIP file that contains two Excel spreadsheets. Each spreadsheet will have a different worksheet tab within it for each run for that day. It will also have a worksheet for the unscheduled trips for that day.

In the event of an Azure outage, the user will call our customer service number and they will be walked through the process on how to get and open the backup file.

To Access the File:

  • Have the user open MediRoutes Desktop Client, but do not log in.
  • Have them press the Ctrl key on the keyboard and left-click with the mouse on the MediRoutes logo on the login screen.
  • The application will open the folder that contains the backup zip file.

  • Have the user copy the backup zip file to a working folder on the PC.
  • The user will have to let the CSR know what the 8-digit date is in the file name in order for them to generate the backup password that they will need to open the file.
  • The CSR will Email the password to the user. It is pretty long and would be difficult to read it out over the phone.
  • The user will right click on the zip file and select "Extract All" from the menu. A pop-up box will appear asking for the password.

  • The user will enter the password into this message box and click OK.
  • The Excel files will be extracted and available for them to use.

  • Files in folder:

There should only ever be the one file in this folder. Whenever the user closes the desktop client, or is logged out for inactivity, the application will attempt remove any files that are currently in the folder and generate a new one.

If the user is in the folder and has the file open, the application cannot create the backup. Always make sure that you have the user copy the file out of the backup folder and into a working folder so that the file does not get deleted if they need to work with it.

Recycle Bin

The files that are automatically deleted will NOT show up in the recycle bin.

Run the backup password generator

Enter the 8-digit code (date) that is in the file name

Click Generate


Click Copy. This will copy the password to the clipboard. You can then paste the password into an email and send it to the client.
