Notifications Features and Set Up

In today's fast-paced environment, keeping your passengers informed with timely updates via SMS, text, or email has never been easier. This essential feature is designed to enhance communication by focusing on clarity, promptness, and user-friendliness, all while fostering a seamless connection between our clients and their passengers.

The system includes a variety of predefined templates, options for customizable content, support for multiple languages, and much more. Below is a comprehensive step-by-step guide to help you utilize this feature effectively.

Set Up Process:

The process of setting up Notifications begins with collecting essential company information required for verification by the third-party verification service utilized by the cell carriers. All info is on Mediroutes.com website, under Admin section, Billing & Payments

  • Company name, address, email, phone, Business type ( LLC, Corp, etc.)
  • Company Website ( can be any website with company info on it, but can not be behind a login, must be open to public, like Facebook, Better Business Bureau, etc. )

After collecting all the necessary information, the next step is to contact MediRoutes Support to set up your Notification Account and obtain a toll-free number.

The verification process with the Cell Carrier verification company, which is essential for activating your toll-free number, can take anywhere from one to two weeks, depending on the specific verification company involved. Once your number has been successfully verified, you will be granted the ability to send text messages.

 

Notification Template Set up:

Step 1 - Navigate to Notifications

To create your first notification, visit the Mediroutes.com website and log in to your account. Once logged in, navigate to the Dispatch section and select the Notifications option. You will be directed to the Notifications page, where you will see the initial screen displaying any open and active schedules. Since you are starting fresh, this section will appear empty, allowing you to begin your notification setup.

Start with Templates section. 

Step 2 - Templates

In the Templates section, you will find the Basic Template, which serves as a foundational starting point for crafting messages intended for passengers. You have two options: you can either use the Basic Template, which comes pre-loaded with a message and some settings, or you can create a new template from scratch. To save time and streamline your process, it is recommended to begin with the Basic Template, make any necessary adjustments, and then save it as a new template.

Step 3 - Template Message Set Up

Once the Template is open, you will see on the left side, option for the Message. The option are listed below. 

  • Chose which type of deliver method. Email, or TEXT, or Voice (phone call). You can chose all three, or two, or just one ( any combination). When Template is sent out, it will sent out based on what you chose.
  • Only One Trip Per Customer - this box is to set up what trips the Template will be sent to. Based on the dropdown box. If checked then only 1 x notification message will be sent to the trip based on the dropdown box ( all trip, Only Appointment, Only Return, Only Will call). 
  • Next section is about Where's My Ride (WMR) links on the template message, and includes pricing per segment based on what you choose. 
    • Use without WMR - basic message, no WMR online URL link sent on TEXT message Current Price as of 5/1/25 is 5 cents per segment. 
    • Use basic WMR - WMR URL link available to be inserted into Text Message, so the Passenger can click URL to see online tracking for driver and trip. Currently pricing 5/1/25 is 10 cents per segment. A pop up box shows current pricing. 
    • Use White Label WMR - Same as basic WMR, but you have the option to Customize the Template format, with your company Logo, coloring, and other set up option. See section on White Labeling later in article. Current pricing per segment is 20 cents, and pop up will show you current pricing when selecting this option. 
  • Include Confirmation Dialog on WMR - Check the box to include the Confirmation section on WMR URL link when client opens link. 
  • Insertable fields - List of trip specific data fields that can be add to the Template Message. 
    • Customer name ( first and last options)
    • Pick Up - Date and/or Time of Pick Up on trip, address
    • Drop Off - Date and/or Time of Drop Off on trip, address
    • Company - Company info from Profile section on Mediroutes Desktop - Name, phone, address, email available options. 
    • Where's My Ride - WMR URL Link from the trip, Will only show if you chose with a WMR option. 

Message Area - This is the area where you can configure the message you wish to send. The available insertable fields will be displayed in a bubble format for easy selection. You will also find options categorized under the headers for Email, Text, and Voice messages. The estimated segment costs are provided based on the guidelines set by the cell carriers.

Once you Click NEXT, then Template will be saved. If you are starting with Basic template, system will ask you to save new template and name it. 

NEXT button -  Once you press Next, it will take you to next section to either send the notification template message now, or set up a Schedule. 

Where's My Ride (WMR) White Label Set Up (Optional)

If you choose to option for Use WMR White Labeling, you will have a link to Customizing section. Click link and you will taken to new webpage to customize the Website 

Option include Company Logo upload, colors, Text colors, Driver, vehicle, trip view data options. 

Once the setup is complete, the WMR link webpage will display a preview featuring all of your customized information.

Step 4 - Setting up a Schedule and Send Notification Now Options.

After setting up a Template you will be taken to set up a Schedule (auto process to send message template at certain times and date) or to Send it Now. Send now will send the message right now. You will be able to pick data, and which trips, and send the Template message now. 

Send Now Process -

  • After selecting the template want to use, click Next and the pop up will show you options to choose Send Now, or to set up a Schedule. 
  • Select Send now, and next screen will show you options to pick date, and trips. 
  • Send Notification - Here you can chose the trips you want to send out now. Filters and options.
    • Date filter
    • Show one trip per Customer - shows the one trip that will receive the message. 
    • Filter on right side to filter by Funding Source, times, type of trips. 
    • Check the trips you want to send out too. 
  • Once you are ready to send the messages, chose SEND in upper right corner. 
  • Summary page opens, Send on bottom once you are ready. 

Set Up Schedule Process -

To set up an automatic schedule for sending messages at specific times and dates, which will continue until you decide to stop them, please follow the steps outlined below. Begin by selecting a template, clicking on the NEXT option, and then choosing the "Set Up a Schedule" option.

  • Schedule set up slide out shows
  • Setting -
    • One-time (one sent once based time/date). 
    • Daily - send out daily
    • Weekly - allows you to pick specific Day of the week to send message.
  • Date, Time options. 
  • Send it - trip date to receive message - options in dropdown menu are:
    • For trips today (date)
    • For trips Tomorrow
    • For trips Two Days out
    • For trips Three days out
  • Funding Source - option to chose the Funding source, which will say what Trips will receive the notification message. You can select one, or multiple Funding Sources, or Select all of Funding Sources. 
  • Click Save to see Summary page, adn then Schedule button, so Save Schedule and will be taken to Schedule section, and will show you the current Schedule available. 

Schedule Section 

The Schedule tab shows the current Schedules created and scheduled to go out. 

On the Schedule tab, you can Create a new Schedule, Edit current Schedule, Delete, and see History of who received messages. 

Icons on the right side are:

  • History - sent to Sent section to see trips that received
  • Edit - slide out screen that allows you to edit the schedule items ( same screen as creating schedule)
  • Delete - will delete and end schedule notification, and no more messages will be sent out in future once it is deleted

Sent Section 

Sent section is showing history of what trips were sent out, and when and details. 

The list shows trip names, dates, type of message ( email, voice, text), and Icon to see details of what message, phone numbers, and other trip details. Click on icon to see slide out screen with details. Search option to look for specific trip passenger name, and filter option of list of sent trip messages. 

Also, you can export to CSV. Upper right corner, has CSV export icon. Click on icon to export CSV File.
