Whether it's through SMS, text, or email, reaching out and ensuring timely updates to your passengers is now more seamless than ever. This flagship feature is designed to prioritize clarity, timeliness, and ease of use, reinforcing our vision of building a bridge of effortless communication between our clients and their passengers.

The system offers predefined templates, customizable content, multiple language support, and much more. Here's a step-by-step guide to using this feature.

Step 1 - Navigate to Notifications

Navigate to the Notifications page to create your first notification. By default, you'll land on the Basic Template.

Revamped Training Mode

Training Mode

We're excited to introduce a revamped training mode designed to streamline your learning process:

  • Interactive Guidance: Look for popup boxes on each page, offering a step-by-step walkthrough of the features at your disposal.
  • Controlled Pacing: Navigate through the popovers at your leisure using the 'Next' buttons, and when you're ready, hit 'Done' to conclude the training on that page.
  • Remembering Your Progress: Training popovers are designed to be a one-time guide; once completed, they won't reappear on that page to keep your workspace clutter-free.
  • Flexibility to Skip: Not a fan of hand-holding? Feel free to bypass the training mode on any page with a simple click of the 'Skip' button. A prompt will then offer you the choice to skip the training for the current page or to disable all training popovers globally via Settings > General.
  • Toggle as Needed: If you ever wish to revisit the training popovers for a refresher, toggle the training mode On and Off in the settings. This will reset and reactivate the completed training modules.

Step 2 - Getting Started: Basic Template

  • 2.1 Upon accessing the notifications feature, the system will load the Basic Template. This template provides a foundation to create your customized notifications.
  • 2.2 While the Basic Template cannot be edited directly, users can make modifications and save them as a new template.

Step 3 - Selecting a Pre-existing Template

  • 3.1 Navigate to the dropdown menu in the notifications sidebar under the title Select a Template.
  • 3.2 Choose from the list of previously created templates.
  • 3.3 The selected template will load and can be edited as per requirements.

Step 4 - Setting Notification Channels

  • 4.1 Users can select the desired channels for sending the notification: Email, SMS, and/or Voice.
  • 4.2 If only SMS or Voice is chosen, an option called Pickup Confirmation becomes available.
    • 4.2.1 To enable Pickup Confirmation, check the box labeled Response is required.
  • 4.3 The selected template will load and can be edited as per requirements.

Step 5 - Insertable Fields in Notifications

  • 5.1 Enhance your notifications by adding insertable fields that fetch data dynamically.
    • Example fields: firstName lastNamewmrShortURL, (for the Where's My Ride Passenger Portal link), etc.
  • 5.2 Insert these fields into the desired place within the notification content. To place an insertable field, click in the notification body where you would like the field to be. Then select the field in the sidebar to place it in that location. They will be replaced with the relevant data when the notification is sent.

Step 6 - Multi-language Support

  • 6.1 Create a notification in your default language, then click the green plus button to select from a list of languages to translate to. The user can repeat this process for each language they would like to create for the notification.
  • 6.2 Click on the left and right arrows near the language display to step through the language templates you have created.
  • 6.3 Currently there are six approved languages: German, Farsi, Spanish, French, Italian, and Mandarin.
  • 6.4 For each language, make unique edits to tailor the notification to your audience. Sometimes words just dont translate the way certain localities speak. These words can be replaced by the admin. Simply click the small translate button at the top right of the notifications body to re-translate for the language. This feature ensures accurate and culturally-sensitive communication.

Step 7 - Crafting Unique Messages

  • 7.1 Depending on the chosen channels (Email, SMS, Voice), users can draft specific messages tailored to each medium.
  • 7.2 Use the appropriate tabs or sections to switch between these channels and add/edit the content.

Step 8 - Proceeding to the Next Section

  • 8.1 After constructing and finalizing the notification, click the green Next button located at the top right corner.
  • 8.2 Follow on-screen prompts or instructions to proceed further and send/activate your notifications.

Note

Please note that in order for your changes to be saved, users should click the green Next or Save buttons at the top right of the page after making updates to a template.

Step 9 - Making a Choice: Send Now or Schedule for Later

  • 9.1 After finalizing the notification content and settings, click on the green Next button at the top right corner of the screen.
  • 9.2 A dialog will appear, offering two options for the next steps:
    • 9.2.1 Send Now Selecting this option will navigate the user to the Send Notfications page where they can send out the constructed notification to the intended recipients.
      • It's useful for urgent notifications or reminders that need to be communicated without delay.
    • 9.2.2 Schedule for Later Choose this option if you'd like to specify a future date and time for the notification to be sent.
      • It's ideal for pre-planned messages or periodic notifications that you wish to automate for a future instance.
  • 9.3 Make your choice based on the urgency and planning of the notification.

Step 10 - Scheduling a Notification for Later

Upon selecting the Schedule for Later option, a slide-out panel will emerge, presenting various settings to tailor your notification's delivery schedule:

  • 10.1 Delivery Schedule Options:
    • 10.1.1 One Time Schedule the notification to be sent out only once.
      • Select the desired date using the date picker tool.
      • Set the preferred time using the time picker widget.
    • 10.1.2 Daily Choose this if you want the notification to be sent out daily at a specific time.
    • 10.1.3 Weekly Opt for this if you aim for the notification to be dispatched weekly on specific days and at certain times.
  • 10.2 Notification Timing:
    • Determine the relative day for which you're notifying
      • Today's trips
      • Tomorrow's trips
      • Trips two days from now
      • Trips three days from now
  • 10.3 Funding Sources:
    • Notifications can be tailored to target customers based on their funding sources.
      • Browse through the list and select desired funding sources.
      • Use Select All to include all funding sources or Deselect All if you want to start your selection afresh.
  • 10.4 Template Preview:
    • On the right side of the slide-out panel, you'll find the notification template you're about to send.
      • Ensure you go through it to verify its content and fix any errors if needed.
      • Use the language tabs to toggle and preview the message in the available languages, ensuring accurate translations and context.

Step 11 - Sending Notifications Immediately

Once the Send Now option is chosen, users will be redirected to the Send Notification page. This page allows for the precise selection of passengers set to receive the templated message:

  • 11.1 Passenger Selection:
    • By default, displayed passengers have trips scheduled for the current day.
    • The list of passengers can be refined by entering the passenger's name into the search bar.
    • To view trips on future dates, adjust the date using the date picker. Note: Viewing past trips is currently not supported as those dates are disabled.
  • 11.2 Advanced Filtering:
    • The gray filter button opens a dialog that allows users to filter trips based on:
      • Funding Source
      • Message Type (Email, SMS, Voice)
      • Trip's Start and End Time
    • To reset filters, reopen the filter dialog and hit the red Clear button.
  • 11.3 Test Before Sending:
    • Preview the notification using the Send Test button located at the top right.
    • This action triggers a slide-out panel where users can:
      • Preview the notification template
      • Input an Email or Phone Number for the test message
  • 11.4 Sending the Notifications:
    • To dispatch the notifications:
      1. Select the desired passengers from the list.
      2. Click the green Send button situated at the top right.
    • Summary Slideout panel will appear for a final review of the template before processing.
    • Click Send Now at the bottom of this panel to initiate the sending process.
  • 11.5 Notification Processing:
    • As notifications are sent out, a dialog displays the progression, e.g., "1 of 25".
    • Users are kindly asked to remain on this page until all notifications have been sent. Following the completion, they will be automatically redirected to the Sent Notifications screen, offering an overview of all prior sent notifications.

Step 12 - Managing Scheduled Notifications

Once you've scheduled or sent a notification, you have the capability to manage and make further edits to them. The Scheduled Notifications tab offers a comprehensive overview of all your upcoming notifications. Let's delve deeper into the functionalities available in this tab.

  • 12.1 Accessing Scheduled Notifications:
    1. Navigate to the 'Create Notifications Page'.
    2. Click on the 'Scheduled' tab located at the top.
  • 12.2 Viewing Scheduled Notifications:
    • Once inside the 'Scheduled' tab, you'll be presented with a list showcasing all your scheduled notifications.
    • This overview will provide you with key details such as the template's content, its scheduled delivery time, and the funding source.
  • 12.3 Editing and Deleting Notifications:
    • If you need to make modifications to any scheduled notification, simply locate the 'Edit' option adjacent to the specific notification.
    • Should you wish to remove a particular notification from your schedule, click on the 'Delete' option.
  • 12.4 Filtering Scheduled Notifications:
    • For more specific views, utilize the grey 'Filters' button.
    • Here, you can narrow down the list by filtering notifications based on 'Template Name', 'Funding Source', or 'Frequency'.
    • If you need to revert back to the unfiltered list, access the filters dialog and hit the red 'Clear' button.
  • 12.5 Creating a New Notification:
    • If you wish to set up a new notification, find the green 'Create New Notification' button positioned at the top right corner and click on it.
  • 12.6 Switching Between Notification Tabs:
    • The interface offers tabs that allow you to switch between 'Scheduled', 'Sent', and 'Templates'.
    • Simply click on the desired tab to view its respective contents.

Step 13 - Managing Sent Notifications

  • 13.1 Accessing Sent Notifications:
    1. Navigate to the 'Create Notifications Page'.
    2. Click on the 'Sent' tab located at the top.
  • 13.2 Viewing Sent Notifications:
    • Inside the 'Sent' tab, a list of all sent notifications is displayed.
    • The list includes important details such as the name of the template used, the time the message was delivered, and the type of message sent, which could be Email, SMS, or Voice.
  • 13.3 Inspecting Sent Notifications:
    • To get a closer look at a Sent Notification, click on the 'View' button situated on the right side of the list entry.
    • This action will show users the template in detail, including the language it was sent in.
    • Users can also review any errors associated with the sending process. Errors might involve issues like attempting to dispatch an email to a passenger who lacks a recorded email address.
  • 13.4 Filtering Scheduled Notifications:
    • Enhance the specificity of your overview by clicking the grey 'Filters' button.
    • Apply filters to sort the notifications by 'Start Date', 'End Date', or 'Sending Method' (Email, SMS, Voice).
    • To return to the original list view, open the filter dialog and select the red 'Clear' button.
  • 13.5 Creating a New Notification:
    • To initiate a new notification, navigate to and click the green 'Create New Notification' button found at the top right of the page.
  • 13.6 Switching Between Notification Tabs:
    • The interface offers tabs that allow you to switch between 'Scheduled', 'Sent', and 'Templates'.
    • Simply click on the desired tab to view its respective contents.

Step 14 - Managing Templates

  • 14.1 Accessing Templates:
    1. Open the 'Notifications' interface on your system.
    2. Click on the 'Templates' tab to view your available notification templates.
  • 14.2 Default Templates:
    • Basic Template: This is a standard, non-editable template. If you attempt to make changes, you'll be prompted to save these alterations as a new template with a different name.
    • Proximity Alert Template: This template is for notifications to be sent when a driver is nearing a specified distance from a pickup location. It needs to be enabled from within the Proximity Alert template and comes Inactive by default. Note that only Basic and Custom - or Proximity Alerts can be active at a time.
  • 14.3 Proximity Alert Features: Proximity Alert Template
    • Activation: Must be enabled within the edit mode of Proximity Alerts Template.
    • Dominance: When enabled, it overrides other notification types.
    • Trigger: Sent based on driver proximity, not on a set schedule.
    • User Response: Requires a response by default.
    • Delivery Method: Primarily sent via SMS, with options to add Voice and Email.
    • Additional Costs: Implementing Proximity Alerts will may incur an additional fee.
    • Visualization: Offers a link for real-time driver location tracking akin to ride-sharing apps.
  • 14.4 Active Indication:
    • Upon enabling, you'll see a confirmation popup and the Proximity Alert Card will display a green 'active' indicator.
  • 14.5 User Created Templates:
    • These are templates you've created and named. They appear beneath the default templates.
    • To use a custom template, hover over its card and click 'Use'.
    • To delete a custom template, hover over its card and select 'Delete'.
  • 14.6 Creating a New Template:
    • Click the 'Create Template' card to start building a new template.
    • You'll start with a brand new template that you can name and set a schedule for.
  • 14.7 Creating a New Notification:
    • Click the '+ Create New Notification' button.
    • You'll start with the Basic Template but can switch to a different template as needed.

Notes

  • Default templates (Basic and Proximity Alert) cannot be deleted.
  • Proximity Alerts may incur additional charges.
  • User-created templates can be managed (used or deleted) as per your preference.
