How to Enter and Manage New Trip Requests in MediRoutes Desktop

How Trips Enter MediRoutes

There are three primary ways trips can be added into MediRoutes:


1. Manual Trip Entry

Trips can be entered directly into MediRoutes Desktop by a scheduler or dispatcher.This method is typically used when:

  • Receiving trip requests by phone

  • Entering private pay trips

  • Creating internal or facility-scheduled trips

Manual entry gives you full control over trip details such as:

  • Passenger information

  • Pickup and drop-off locations

  • Appointment times

  • Funding source

  • Special trip notes


2. Broker Integration (Automatic Trip Import)

MediRoutes integrates with many NEMT brokers. When integrated, trips are automatically sent into MediRoutes via API.

Common broker examples include:

  • ModivCare

  • MTM

  • MediTrans

With broker integration:

  • Trips flow into MediRoutes automatically

  • Trip updates (cancellations, changes, etc.) may sync automatically

  • Manual re-entry is not required

This method reduces manual workload and improves accuracy.


3. CSV File Import

Trips can also be imported using a CSV file.

This method is commonly used when:

  • Receiving batch trip files

  • Working with a broker that provides trip spreadsheets

  • Importing trips from another system

To use this method:

  • Format the CSV file according to MediRoutes import requirements

  • Upload the file through the Import tool

  • Review for errors before finalizing

CSV imports are ideal for large volumes of trips at one time.

Common Locations are stored addresses that you can pull from the system instead of having to enter in the information each time for a trip. The quickest way to enter address information for a trip is to utilize common locations, but they have the added benefit of allowing you to specify the latitude and longitude of the location, to ensure your driver goes exactly where you want them to. This is especially helpful when you are directing your drivers to a specific entrance of a large facility.
